TERMS OF SERVICE AND PRIVACY POLICY COMPLIANCE

Purpose
This policy ensures that Ministries of Jesus, Inc. (MOJ) maintains transparent, legally compliant, and ethically sound Terms of Service (TOS) and Privacy Policy (PP) statements. These documents govern how the organization interacts with website/app users, collects and uses data, and manages user rights.

Scope
This policy applies to all digital platforms owned or operated by MOJ, including but not limited to the organization’s website, social media channels, mobile applications, email communication systems, donor databases, and online registration or intake forms.

Policy Statement
MOJ will publish and maintain a clear and accessible Terms of Service and Privacy Policy that complies with applicable laws and reflects the organization’s values of transparency, respect for individual privacy, and responsible stewardship of data.

    1. Types of personal information collected
    2. Purpose for collecting data.
    3. Methods and safeguards for data storage and protection.
    4. How data is shared with third parties (if applicable).

    7. Information about use of cookies, tracking, or analytics tools.
    8. Compliance with laws such as:
      1. Children’s Online Privacy Protection Act (COPPA)
      2. Health Insurance Portability and Accountability Act (HIPAA), if applicable
      3. General Data Protection Regulation (GDPR), if interacting with EU residents

    1. General conditions for use of digital platforms.
    2. Disclaimers and limitations of liability.
    3. Ownership of content and intellectual property.
    4. Prohibited uses (e.g., unlawful activities, harassment).

    6. Reference to Privacy Policy and user acceptance of both.
  2. Approval and Review: The initial TOS and PP must be reviewed and approved by legal counsel before publication. The Executive Director is responsible for ensuring that these documents are reviewed annually or whenever there is a change in legal requirements, service offerings, or technology practices.
  3. Accessibility and Consent: Both policies must be visibly accessible on the MOJ website and any platform where user data is collected. Where applicable, users must explicitly agree to the Terms and Privacy Policy before submitting personal information (e.g., checkboxes for consent).
  4. Staff Training and Internal Awareness: All staff and volunteers with access to personal data will be trained on data handling policies and confidentiality expectations annually.
  5. Data Breach Protocol: In the event of a data breach, MOJ will notify affected individuals and governing authorities as required by law and will document the breach and mitigation steps.

Compliance Monitoring

Failure to maintain compliant or accurate policies may result in reputational damage, legal penalties, or loss of donor trust. The Board will receive an annual report summarizing policy updates, training completed, and any incidents related to privacy.
